This Privacy Notice explains how The Emerald Coast Edit ("we", "us", "our") collects, uses, shares, and protects personal information when you use our website and Service. The Emerald Coast Edit acts as the data controller for personal information processed to operate the Service.

1. Information We Collect

  • Account information: name, email, brokerage, phone number, and password.
  • Profile and workspace content: brand voice samples, listings, deal data, contacts, documents, contract PDFs you upload, and AI prompts and outputs you generate.
  • Support communications: messages you send to us and metadata about them.
  • Device and usage data: IP address, browser type, device identifiers, pages viewed, features used, and diagnostic logs.
  • Cookies and similar technologies: session cookies used to keep you signed in and to remember preferences.

Payment information (card number, billing address) is collected directly by Paddle as our Merchant of Record and is not stored by us. We receive limited billing metadata such as subscription status and the last four digits of a card.

2. How We Use Information

  • To create and operate your account and provide the Service;
  • To generate AI outputs based on your prompts and workspace content;
  • To send transactional emails (account, billing, deal reminders, receipts);
  • To detect, investigate, and prevent fraud, abuse, and security incidents;
  • To provide customer support and respond to requests;
  • To improve the Service, including product analytics and aggregate usage reporting;
  • To comply with legal obligations.

3. Legal Bases (for EEA/UK Users)

Where the GDPR or UK GDPR applies, we rely on: (a) performance of a contract to provide the Service; (b) our legitimate interests in operating, securing, and improving the Service; (c) your consent, where required (for example, non-essential cookies); and (d) compliance with legal obligations.

4. How We Share Information

We share personal information with the following categories of recipients:

  • Merchant of Record — Paddle: for sale of the Service, subscription management, payments, tax compliance, invoicing, and refunds. See Paddle's Privacy Notice.
  • Infrastructure and service providers: cloud hosting, database, email delivery, error monitoring, and analytics providers, acting as our processors.
  • AI providers: content you submit as prompts is transmitted to our AI provider(s) solely to generate the requested output. We do not permit AI providers to train their general models on your workspace content.
  • Professional advisers: legal, accounting, and other advisers, bound by duties of confidentiality.
  • Authorities: where required by law, subpoena, or valid legal process.
  • Business transfers: in connection with a merger, acquisition, or sale of assets, subject to standard confidentiality protections.

We do not sell personal information.

5. International Transfers

We and our service providers may process personal information outside your country of residence, including in the United States. Where required, we rely on adequacy decisions or Standard Contractual Clauses (or the UK equivalents) to safeguard those transfers.

6. Retention

We retain personal information for as long as your account is active and for a reasonable period afterward to comply with legal obligations, resolve disputes, and enforce our agreements. When information is no longer needed we delete or anonymize it.

7. Your Rights

Depending on where you live, you may have rights to access, correct, delete, port, restrict, or object to processing of your personal information, and to withdraw consent. EEA/UK users may lodge a complaint with a supervisory authority. To exercise a right, email privacy@theemeraldcoastedit.com. We will respond within the time required by applicable law (typically within one month under GDPR).

8. Security

We use appropriate technical and organizational measures to protect personal information, including encryption in transit, access controls, and audit logging. No system is perfectly secure; if we become aware of a security incident affecting your information we will notify you as required by law.

9. Cookies

We use essential cookies to keep you signed in and to remember preferences, and a small number of analytics cookies to understand how the Service is used. You can manage cookies through your browser. Disabling essential cookies will prevent you from signing in.

10. Children

The Service is not directed to children under 16, and we do not knowingly collect personal information from them.

11. Changes

We may update this Privacy Notice from time to time. Material changes will be communicated through the Service or by email.
